The information we collect
Depending on how you use Quarterly, we may collect:
- Contact details — your name, email address and phone number, when you enquire, sign up or use our forms and tools.
- Tax and financial information — income, expenses, bank transaction data, receipts, property and rental details, your UTR, National Insurance number and other figures we need to prepare and file your tax with HMRC.
- Identity verification data — the documents and checks needed to confirm who you are, carried out through our verification provider as part of our anti-money-laundering (AML) obligations.
- Website usage data — basic information about how you use our site, such as pages visited, to keep the site working and improve it.
How we use your information, and our legal basis
Under UK GDPR we must have a lawful basis for using your information. We rely on:
- To provide our service (contract): preparing and filing your quarterly MTD submissions and final declaration, communicating with you, and managing your account.
- To meet legal obligations (legal obligation): verifying your identity and keeping records to meet our anti-money-laundering, tax-agent and accountancy responsibilities.
- To run and improve our business (legitimate interests): responding to enquiries, keeping our website secure and working, and — where appropriate — telling you about relevant services. You can object to this at any time.
- With your permission (consent): where we ask for it, such as certain marketing messages. You can withdraw consent at any time.
Who we share it with
We never sell your data. We share it only where necessary to provide our service or meet the law, including with:
- HM Revenue & Customs (HMRC) — to file your tax submissions as your authorised agent.
- Our software and verification providers — including ClearBooks (HMRC-recognised accounting software) and our identity-verification provider, who process data on our behalf under contract.
- Professional advisers and regulators — where required for compliance, audit or legal reasons.
All providers acting on our behalf are bound by contract to keep your data secure and use it only as we instruct.
How long we keep it
We keep your information for as long as you are a client and afterwards for as long as we are legally required to — generally at least six years for tax and accountancy records, in line with HMRC and AML requirements. After that we securely delete or anonymise it.
Where your data is held
Your data is stored on secure systems within the UK or, where a provider operates elsewhere, in countries with equivalent data-protection safeguards recognised under UK law. It is encrypted in transit and at rest.
Your rights
Under UK data protection law you have the right to:
- Be informed about how your data is used (this policy)
- Request a copy of the data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete data, where we are not legally required to keep it
- Object to or restrict certain uses of your data
- Ask us to transfer your data to another provider, where applicable
- Withdraw consent where we relied on it
